Job Description:
This position serves as the initial point of contact for residents of Bella Trae as well as the liaison to the Manager of the Bella Trae Community.
This position is the face of the Manager.
Customer Service and excellent customer facing skills are priority.
Able to work under the supervision of their manager or assigned supervisor following all policies and procedures established by Sentry Management and the Board of Directors.
Excellent customer service skills and telephone etiquette.
Ability to work independently and demonstrate good judgment.
Has working knowledge of Microsoft Word and Excel and the ability to transfer computer skills to proprietary and specialty software used in daily tasks.
Responsibilities:
RESIDENT SERVICES Opens and closes the clubhouse as per procedure.
Greets and assist residents as they come into the clubhouse with any questions or issues they might have.
Checking passes of all residents and their guests who come in Prioritize daily tasks, and handle day to day issues as they arise in a timely manner.
Always try to solve problems immediately, but if unaware of the answers, take the residents information, and follow up later with the answer.
Maintain discretion and composure at all times.
Keep all information that is learned while on the job as confidential.
Triage all telephone calls and in person resident concerns.
Solve resident concerns where appropriate and escalate as needed.
Receive and direct visitors and clients to the appropriate person or place within the clubhouse and property.
Assist in maintaining the property and Association equipment as needed.
This includes keeping workstations neat and tidy as well as some minor cleaning of the various clubhouse and grounds facilities and maintaining the equipment.
Utilize ComPro and GateHouse and Constant Contact systems to appropriately log and document all relevant community and resident records.
Order supplies and maintain inventory under the direction of the designated Manager.
Prepare IDs and car RFIFDs, process parking stickers, process RFID Resident Passes, create and issue visitor clubhouse passes to resident's guests Update rental spreadsheet and process removals or additions to the GateHouse system.
Facilitate financial transactions and document in the appropriate systems.
General clerical duties including photocopying, scanning, filing and mailing.
Assist with planning, registration, setup, execution, breakdown and cleanup of community recreational events, including holiday events.
Address residents and guests creating any safety concerns or who are in violation of Pool and Clubhouse Rules Ensure coffee station is fully stocked at all times.
Assisting Management with any other duties as needed Accurately document deficiencies, incidents, damages, or hazards and submit incident reports, work order and/or photos as directed by the Lead Maintenance Technician.
Work cooperatively with all other Association employees and assist in team projects as needed.
Complete additional duties as assigned.
REQUIREMENTS:
Maintain a flexible schedule.
History of providing excellent customer service.
Computer skills and knowledge of relevant software:
Microsoft Word, Excel, and PowerPoint with the ability to quickly learn and understand company specific software.
Knowledge and operation of standard office equipment Knowledge of basic principles and practices of office etiquette Understands clerical and administrative procedures as they pertain to basic office operation Proficiency in the English language in both written and oral capacities, with strong communication skills Ability to plan, organize and prioritize effectively Demonstrates attention to detail and accuracy Must be able to lift 25lbs

Estimated Salary: $20 to $28 per hour based on qualifications.
